Job Summary:

The School Business Manager manages and directs all back-end operations of the Charter School/Non-Charter School functions. They should serve as the principal’s right hand and be capable of executing and supervising various activities/functions of the school with minimum supervision.

Job Responsibilities:

Provide executive administrative support to the school principal, including organizing activities/events (i.e., field trips, volunteer activities), confidential administrative tasks (i.e., scanning, filing, data entry, copying), setting up meetings, and gatekeeper/problem solver with parents/community partners. Manage office operations of the school office, including: Ensuring classroom/office supply inventory is up to date and available for staff. Coordinate ordering of office/classroom/clinic supplies, including monitoring the campus budget. Point person on the copier/other office equipment repairs and maintenance Supervising receptionist if applicable Provide campus orientation to all new staff on campus and Paycom procedures/systems. Ensures compliance and accuracy in the HR Time and Attendance system in Paycom HRIS system for all employees, monitors time to ensure staff stays on schedule (i.e., overtime), and reviews/approves campus payroll with coordination with the Principal. Compile monthly statistical reports, including updating Class Lists/Dashboard Ensure school communication (i.e., school closings, campus events, with families and staff). Coordinate substitutes for the school day. Point person for all education operational compliance regulations, licenses, and inspections, including DCF staff/training records and other DCF compliance as required, monthly fire and other required safety drills, fire extinguisher inspections, health department protocol, and Charter links. Acts as liaison to HR team concerning respective employee injuries, including ensuring that workers comp claims are submitted timely and assisting the employee in seeking medical care. Oversees, maintains, and submits all student accident claims to the Risk Management team in a prescribed manner. Acts as a Liaison to Finance departments on property and casualty claims. Ensure all facility, maintenance, safety, and IT needs are submitted to Basecamp/Spiceworks in a timely manner monitor and follow up on the progress. Ensure inventory of all keys, technology, curriculum, etc. If PreK and below campus - manage the entire non-charter education revenue process (i.e., summer, VPK, Daycare, Before/After Care); ensures student payments are entered accurately and kept up to date, follow up on delinquent accounts, complete all attendance and other compliance requirements accurately/timely for VPK/4C including sending copies to UCP Administration. For K-12th School Ensures student payments for supply fee and before/after school are collected and entered accurately. Oversee Student File System, including ensuring correct setup CUM/student folders, accurate ongoing upkeep/filing, and termination/discharge files. Coordinate training of the front desk team, ongoing coverage, and positive customer service. If no School Health Assistant, ensure tracking of physical/Immunization expiration dates/notify parents to ensure compliance. Perform other duties as assigned. What UCP Offers
