DEPARTMENT:                      Owasso High School

REPORTS TO:                       Principal

FLSA STATUS:                      Non-exempt

SALARY SCHEDULE:           Payroll/HR/Finance/12 month specialist

SUMMARY: Maintains student records at the campus level.  Processes student enrollment, transfers, and withdrawals for the campus.

 

ESSENTIAL FUNCTIONS: these statements are intended to describe the responsibilities assigned to this position and are not intended to represent an exhaustive list of all responsibilities, duties and skills required.

  1. Maintains physical and computerized records including student cumulative files, progress and failure reports, class rosters, schedule changes, and grade books.

  2. Processes new student records, including requesting transcripts and records from other schools, setting up cumulative folders, and entering student data into the appropriate databases.

  3. Provide customer service communications which may include such duties as: telephone answering, responding to inquiries and information requests from both internal and external customers, taking accurate and delivering timely messages, providing follow-up for information requests and greeting visitors.

  4. Coordinates grading process, including processing of, verification and correction of grades, and posting of night school, summer school, Tulsa Tech, and Tulsa Community College grades.

  5. Process and distribute weekly reports for student eligibility.

  6. Conduct research for Education Verification to include processing requests from third party vendors to verify graduation for former students.

  7. Assists administration with the completion of state department reports including:  Accreditation, Enrollment Graduation, Dropout Report.

  8. Assists campus administration with the process and building of the Master Schedule.

  9. Processes and transmits requests for student information, including student transcripts for colleges and universities.

  10. Calculates grade point averages and class rank.

  11. Assists counselors with the enrollment, withdrawals, and transfer of students and processes applicable records.

  12. Assists campus administration and counselors with the preparation of reports and student data information.

  13. Prepares cumulative files for distribution to graduates to include diploma, final transcript, and immunization records. 

  14. Coordinates the ordering of diploma covers. Maintains confidential information including inactive confidential files.  Prepares letter and research addresses for meeting federal guidelines to destroy confidential files. 

  15. Provide back-up support in the absence of other support staff or in an overload situation.

  16. Assists with special projects.

  17. All other duties as assigned by the administrator.

EDUCATION and/or EXPERIENCE:

  1. High School Diploma or equivalent

  2. Three (3) years of experience in closely related field preferred

 

KNOWLEDGE/SKILLS/ABILITIES:  Computer literate.  Ability to follow all district policies and procedures.  Ability to work independently, displaying initiative and enthusiasm for the tasks being done.  Demonstrating strong communication skills, orally and in writing, with faculty, staff, team members, and administrators.  Ability to work without supervision, and work as a team player.  Ability to document records accurately.  Ability to manage confidential information in a manner that respects students, families, and employees.  Ability to listen effectively.  

 

LANGUAGE SKILLS:  Ability to read and interpret general written instructions in English language.  Ability to effectively communicate with supervisor, school personnel, and co-workers.

 

MATHEMATICAL SKILLS:  Ability to perform basic math functions such as addition and subtraction.

 

REASONING ABILITY:  Ability to apply common sense understanding to carry out written and oral instructions.  Ability to define problems, collect data, establish facts, and draw valid conclusions.
