JOB TITLE: Administrative Assistant - Principal
DEPARTMENT: Owasso Secondary Sites
REPORTS TO: Principal
FLSA STATUS: Non-exempt
CONTRACT STATUS: Full-time / 10 months
SALARY SCHEDULE: 10 month administrative assistant

SUMMARY: Provides secretarial support to the Principal and assists in a variety of tasks to enhance the smooth and efficient operation of the school office.

Keep record of teacher absences and report to the Office of the Superintendent
Distribute office mail
Monitor and turn in staff time cards
Order office, teacher, or other required supplies for school operations
Design, copy, and distribute newsletters and bulletins
Collect revenue, record, and make deposits of school funds and assist in preparation of the site budget
Keep lists of teachers’ daily absences and turn in by the end of the week
Performs first aid and assist with medication dispensing when the nurse is unavailable
Make and distribute necessary copies
Keep track of master school calendar
Maintain and operate office machines
Greet and assist any visitor, student, or teacher in a polite and efficient manner in a busy and sometimes stressful office environment
Types and files letter, reports, correspondence, requisitions, spreadsheets, work orders, and other documents from notes, verbal instruction, or independently from knowledge of situations or projects
Answers telephone in a polite and professional manner, responding to a variety of questions from faculty, parents, and students
Requests and sends student records in a timely manner.
Requests substitute teachers as needed
Relays messages to staff and students
Develops cooperative and functional relationships with district staff and the public; maintains consistent and punctual attendance; insures job responsibilities are met competently and within established deadlines.
Assists with special projects.
All other duties as assigned by the administrator.

EDUCATION and/or EXPERIENCE:
High School Diploma or equivalent
One (1) year of experience in closely related field preferred
KNOWLEDGE/SKILLS/ABILITIES: Computer literate. Ability to follow all district policies and procedures. Ability to work independently, displaying initiative and enthusiasm for the tasks being done. Demonstrating strong communication skills, orally and in writing, with faculty, staff, team members, and administrators. Ability to work without supervision, and work as a team player. Ability to document records accurately. Ability to manage confidential information in a manner that respects students, families, and employees. Ability to listen effectively.
LANGUAGE SKILLS: Ability to read and interpret general written instructions in English language. Ability to effectively communicate with supervisor, school personnel, and co-workers.
MATHEMATICAL SKILLS: Ability to perform basic math functions such as addition and subtraction.
REASONING ABILITY: Ability to apply common sense understanding to carry out written and oral instructions. Ability to define problems, collect data, establish facts, and draw valid conclusions.
