Payroll Specialist
 
PURPOSE OF THE POSITION
The Payroll specialist will be responsible for processing timely and accurate delivery of payroll for monthly pay cycles.  This includes the preparation, documentation, and disbursement of the district’s payroll.

SCOPE
The Payroll specialist reports directly to the Finance Director or designee and will ensure accurate processing and recording of multiple payrolls, provide timely and accurate payroll information, and participate in daily data entry Payroll processing.  The ideal candidate will partner with all business units and comply with all policies and procedures.

RESPONSIBILITIES
  • Calculate and Process Payrolls
  • Manage Coaching supplement process
  • Issue accumulated sick leave payments
  • Balance General Liabilities and issue invoices
  • Provide journal entries as needed
  • Balance billing statements for payroll deductions utilizing Excel
  • Processing or assisting in W-2’s and 1099’s
  • Create 403B/401K deduction file using Excel
  • Process Retirement, both legacy and hybrid
  • Process Hybrid 401K (Electronically uploading and downloading files and dealing with representatives on resolving issues, discrepancies)
  • Meet with Employees on various payroll/benefit issues
  • Certify or assist with TNCompass reporting
  • Maintain relationships with Teacher’s Credit Union, Trustee’s Office, and Bank employees.
  • Various year-end procedures
  • Receipting of incoming funds, balancing and transferring to the Trustee’s Office
  • Cross training with accounts payable specialist and providing backup coverage
  • Additional duties as assigned by the Finance Director or designee.

KNOWLEDGE, SKILLS AND ABILITIES
Knowledge: The incumbent must have knowledge in the following areas:  generally accepted accounting principles, computerized accounting programs, payroll systems and reporting, an understanding of relevant local, state and federal requirements.
Skills:  The incumbent must demonstrate the following skills:  team building skills, basic accounting skills, analytical and problem solving skills, decision making skills, effective verbal and listening communication skills, attention to detail and high level of accuracy,  effective organizational skills, effective written communication skills, computer skills including the ability to operate and manage computerized payroll systems, spreadsheet and word processing programs, and email at a highly proficient level, stress management skills and time management skills.
Personal Attributes:  The incumbent must maintain strict confidentiality in performing the duties of the position.  The incumbent must also demonstrate the following personal attributes: be honest and trustworthy; be respectful; possess cultural awareness and sensitivity; be flexible; demonstrate sound work ethics.

WORKING CONDITIONS
Physical Demands:  The incumbent will spend long hours sitting and using office equipment and computers, which can cause muscle strain.  The incumbent is located in a busy office and is faced with constant interruptions and must meet with others on a regular basis
Sensory Demands:  The incumbent must spend long hours in intense concentration.  The incumbent must also spend long hours on the computer conducting payroll which requires attention to detail and high levels of accuracy. 
Mental Demands:  The incumbent must meet several deadlines and will have to manage a number of requests and situations at one time.  Stress may be caused by the need to complete tasks within tight deadlines.

QUALIFICATIONS
  • Must be able to recognize priorities, coordinate multiple tasks and maintain strong attention to detail
  • Excellent interpersonal skills plus strong verbal and written communication skills
  • Strong customer service skills
  • Must be proficient in MS Office (Word, Excel, PowerPoint and Google)
  • Must be organized with the ability to handle multiple tasks at once
  • Must possess strong interpersonal skills and ability to maintain the highest level of professionalism, confidentiality, integrity and impartiality
  • Must be able to work under tight deadlines, with flexibility

EDUCATION AND EXPERIENCE:
BS, BA or related years of experience (at least 3-5)
